How to set up your availability

Before learners can book sessions with you, you'll need to set up your available time slots on Elevate@SUSS. Here's how to get started.

Adding a Slot

  1. From the navigation bar, click Journey > Manage My Availabilities.
  2. Click Add Availability at the top right of the page.

  3. Select the relevant programme from the dropdown.

Only programmes you are registered and approved for will appear in the dropdown. If you don't see a programme, check that your registration has been approved and that the programme is currently active.

  1. Fill in the required details:
    • Start Date
    • Start Time and End Time
    • Location 
    • Seats — the number of learners who can book this slot at the same time. Set this based on whether you're running a one-on-one or group session.
  2. Set your Booking and Cancellation Cut-Off Time (see below).
  3. Click Submit.

Need to add more than one slot on the same date? Click Add Additional Timing to include another time slot for the same day without having to submit separately.

One-Off vs. Recurring Slots

By default, each slot you create is a one-off session. If you'd like to set up the same slot across multiple dates, toggle on Is Recurring and fill in:

  • Recurring Day(s) — e.g. every Monday and Wednesday
  • Recurrence Pattern — Weekly, Bi-Weekly, or Monthly
  • Recurrence End Date

⚠️ Once any session in a recurring series has been booked, the entire series can no longer be edited. Make sure you are confident of your availability before setting up recurring slots.

Booking and Cancellation Cut-Off Time

The cut-off time is a buffer you can set to avoid last-minute bookings or cancellations. This gives you time to prepare ahead of each session.

This one setting controls two things depending on the slot status:

  • If the slot has not been booked — learners will not be able to book once the cut-off is reached.
  • If the slot has already been booked — learners will not be able to cancel once the cut-off is reached.

To set a cut-off, enter your preferred buffer and select the unit (minutes, hours or days) in the Booking and Cancellation Cut-Off Time field when adding availability.

If you leave this blank, the default of 0 hours applies — meaning learners can book or cancel right up until the session.

Here are some common examples to help you decide:

  • 0–3 hours — if you're comfortable with same-day changes
  • 12 hours — a reasonable buffer without being too restrictive
  • 2 days — if you prefer more lead time to prepare

Troubleshooting

1. Submit button is greyed out

One or more required fields have not been filled in. Check that Date, Start Time, End Time, Location, and Seats are all completed before submitting.

2. Programme not appearing in the dropdown

This could mean:

  • Your registration is still pending approval
  • The programme has not started yet
  • The programme has already ended

3. Selected date is greyed out

The date falls outside the programme's duration. Check the programme's start and end dates and select a date within the valid range.

Error message: "Please select another timing"

You already have an existing slot that overlaps with the time you are trying to set. Adjust the timing to avoid the conflict.
