Elevate@SUSS can be linked to your Outlook calendar to automatically manage your availability. Once synced, your Outlook schedule will be reflected on Elevate, so learners only see slots when you are genuinely free.
There are two ways to link your Outlook calendar:

Once linked, one-hour availability slots will be automatically created on Elevate based on your Outlook calendar. Please allow up to 10 minutes for your slots to appear the first time you sync, especially if you have a large number of events on your calendar.
After the initial sync, your Outlook and Elevate calendars will continue to sync automatically every 5 minutes.
You can recognise slots created by Outlook sync by the OUTLOOK label on the availability card.
If you are registered to multiple programmes, a separate availability slot will be created for each programme per time block. For example, if you are registered to two programmes, you will see two 9am–10am slots — one for Programme A and one for Programme B.
💡 Slots are only created within Elevate's available booking hours: 9am–12pm and 2pm–5pm, on non-public holiday working days. No slots will be created outside these hours, during the 12pm–2pm lunch period, or on public holidays.
Elevate looks at the status of each event on your Outlook calendar to determine whether that time should be blocked off on Elevate. Only events set to Free in Outlook will allow the corresponding time slot to remain open for learners to book. All other statuses — including Busy, Tentative, Out of Office, and Working Elsewhere — will cause that time to be treated as unavailable on Elevate.
To check or update an event's status in Outlook, open the calendar event and look for the status field (sometimes labelled "Show as"). Set it to Free if you want learners to be able to book that time on Elevate.
If you need to remove a slot that was created via Outlook sync:
Do not skip the Mark as blockoff step. If you delete the slot without ticking this box, the slot will reappear the next time your calendars sync.
Slots created via Outlook sync cannot be edited directly on Elevate. To make changes, update the relevant event in your Outlook calendar and wait for the calendars to sync (or click Sync Now). Changes will be reflected on Elevate within 5 minutes.
1. Slots not appearing after sync
If your slots are not showing up after linking, the calendars may not have synced yet. Wait up to 5 minutes, or click Sync Now manually to trigger an immediate sync.
2. Outlook events blocking availability unexpectedly
If a time slot is not showing up when you expect it to, check the status of the corresponding event in your Outlook calendar. Open the event in Outlook and look for the Show as field. If it is set to anything other than Free — for example, Busy, Tentative, Out of Office, or Working Elsewhere — Elevate will treat that time as unavailable. Change the status to Free and wait for the next sync.
