Managing bookings

Learners can book sessions directly using the availability slots you've set up. Here's how to stay on top of your bookings and manage any changes.

When a Learner Books a Session

When a learner books a slot, you will be notified automatically via:
  • Email (includes a calendar file you can add to your diary)
  • Wall Feed notification

💡 If you have synced your Outlook calendar, the session will be reflected on both your Elevate and Outlook calendars. Any other availability slots that overlap with the booked time will automatically be removed from view — for example, if you and your learner are connected across multiple programmes and all have a 9am–10am slot, booking one will cause the other overlapping 9am–10am slots to disappear from both your and your learner's view.

Viewing All Upcoming Bookings

  1. From the navigation bar, click Journey > Manage My Availabilities.
  2. Click Manage Bookings at the top right of the page.

  3. You will see a list of both upcoming and completed sessions, including the date, time, learner name, and any notes left by the learner.

Creating a Booking for Your Learner

As a mentor/coach, you can create a booking directly on behalf of a connected learner without waiting for them to book a slot themselves.

  1. From the navigation bar, click Journey > Manage My Availabilities.
  2. Click Manage Bookings at the top right of the page.
  3. Click Add Booking.

  4. Complete all mandatory fields (marked with an asterisk *).
  5. Select a Booking Topic if required — this depends on the programme type.
  6. Optionally, add notes in the Learner Notes field to outline your agenda or session focus.
  7. Click Submit to confirm the booking.

💡 Only programmes for which you have active availability will appear in the programme dropdown. If a programme is missing, check that you have availability slots set up for it.

Rescheduling a Session

There is no direct reschedule function on the platform. If you need to change a session time:

  1. Reach out to your learner via the Messages tab to let them know.
  2. Ask them to book another available slot.
  3. Cancel the original booking (see below).

Cancelling a Session

  1. In Manage Bookings, locate the relevant upcoming session.
  2. Click the gear icon under the Action column and select Cancel.

  3. Provide a reason for the cancellation — this is required before the cancellation can be confirmed. The learner will be notified of the cancellation automatically.

Idea
Whether you're rescheduling or cancelling, it might be a good idea to reach out to your learner via the Messages tab before making changes on the platform. A heads-up goes a long way in maintaining a positive mentoring/coaching relationship.
