Setting up, viewing and approving milestones

Milestones are goals you and your learner set together to guide progress throughout the programme. They are managed per connection, and each connection is programme-specific.

Viewing Milestones

  1. From the navigation bar, click Journey > Manage My Connections.

  2. Locate the relevant connection and click the gear icon under the Action column.
  3. Select View Milestones to see existing milestones for that connection.

Creating a Milestone

Method 1 — Via Manage My Connections

Best for proactive goal-setting — use this when you and your learner are planning milestones together at the start of or during the programme, or when you'd like your learner to come up with their own milestones for you to review and approve.

  1. From the navigation bar, click Journey > Manage My Connections.
  2. Locate the relevant connection and click the gear icon under the Action column.
  3. Select View Milestones.
  4. Click Create.

  5. Enter each milestone in a separate text box, with its own deadline.

  6. Click Add Milestone to include additional milestones, or Remove to delete any before submitting.
  7. Click Submit to send the milestones to your learner for approval.

Method 2 — Via Case Notes

Best for capturing goals on the spot — use this when a new goal comes up naturally during a session and you want to log it at the same time as your case note, without switching to a separate flow.

  1. From the navigation bar, click Journey > Search Learners.
  2. Find the learner and click the gear icon next to their name.
  3. Select Create Booking and Case Note to log a new session, or View Existing Bookings to update an existing case note.

  4. In the case note form, scroll all the way down to access the milestone field. This field will only appear if no milestone exists yet for that connection.

  5. Enter the milestone description and set a deadline.
  6. Complete the rest of the case note form and click Submit.

⚠️ A deadline is mandatory — you will be prompted if this is left blank.

AlertImportant: Once milestones have been set and approved, they are permanently locked. Neither you nor your learner will be able to edit existing milestones or add new ones for that connection under that programme. Take time to discuss and agree on goals carefully before approving.

Approving a Learner's Milestone

When your learner submits a milestone for your approval, you will be notified via Wall Feed and email.

  1. From the navigation bar, click Journey > Manage My Connections.
  2. Locate the relevant connection and click the gear icon > View Milestones.

  3. Review each milestone and its proposed deadline carefully.
  4. If revisions are needed, message your learner directly to request edits — learners can still edit milestones before approval.
  5. When ready, click Approve.

Notes
💡 When you use Method 2 to create milestones (Search Learners > Create Booking and Case Note), the platform will automatically create a "we are connected" milestone upon submission if you and the learner were not previously connected. You can add further milestones via the same shortcut — however, learners are not able to create milestones through this flow.

Exporting Milestones

  • To export all milestones across all connections — go to Journey > Manage My Connections and click Export All Milestones.
  • To export milestones for a specific connection — click the gear icon next to the relevant connection and select Export Milestone.

The download will begin automatically.

Best Practices: Collaborating on Goal-Setting

1. Discuss before you set

Before creating milestones on the platform, have a conversation with your learner first — either in person or via the Messages tab. Milestones that are co-created tend to be more meaningful and achievable.

2. Structured vs. flexible goals

  • Use structured milestones (specific, with clear deadlines) when the programme has defined outcomes or when the learner needs clear direction and accountability — for example, completing a portfolio, securing an internship, or finishing a specific project.
  • Use flexible milestones (broader, open-ended) when the learner is still exploring their goals or when the programme allows for more self-directed development.

3. Keep milestones realistic and time-bound

Each milestone should have a deadline that is achievable within the programme duration. Start with a focused set and add more as the relationship progresses.
